ECMS and Spare Parts Ltd (“ECMS”, “we”, “us”) provides heavy-machinery ECM/ECU and monitor repair, diagnostics and spare parts from Garden Estate Road, Nairobi, Kenya. We are responsible for the personal information you give us through this website.

When you send a request through our form, we collect:

• Your name, email address and phone number
• Details of the equipment: unit type, manufacturer, model and part number
• Your description of the problem, and whether you marked the request as an emergency

Like most websites, our hosting provider also keeps standard server logs (such as IP address, browser type and the pages requested) for security and reliability. We do not ask for payment details through this website.

• To respond to your request and prepare a quote
• To diagnose, repair or supply the unit or part you ask about, and to arrange delivery
• To provide support and honour warranty claims
• To keep records we are legally required to keep

We do not sell your information, and we do not use it for marketing unless you ask us to.

We process your information because you have asked us to (you give your consent when you submit the form), because it is necessary to respond to your request and provide the services you ask for, and to meet our legal obligations.

We share information only with providers who help us run the service, and only as far as needed:

• Resend: delivers form submissions to our inbox
• Google Workspace: our business email
• Vercel: hosts this website
• Courier and logistics partners: when arranging collection or delivery of your unit

Some of these providers process data on servers outside Kenya. We may also disclose information where the law requires it.

This website does not currently use advertising or analytics cookies. If we add analytics in future, we will update this policy and ask for your consent where required.

We keep your request details for as long as we need them to handle your request, provide warranty support and meet legal and accounting obligations, then delete or anonymise them.

We use HTTPS on this website and limit access to enquiry emails to the people who need them. No online service is completely secure, so please do not include sensitive information such as bank details in your message.

Under the Kenya Data Protection Act, 2019, you can ask us to:

• Tell you what personal information we hold about you and give you a copy
• Correct information that is wrong or out of date
• Delete your information, where we have no legal need to keep it
• Stop or restrict our use of your information
• Provide your information in a portable format, where applicable
